Contract
The contract is for a short-term holiday rental of the property specified on the booking form made between the owners of Odle Farm Holiday Cottages, Karen and Paul Marshallsay, and client.
When you submit a booking via our online reservation system you will receive an automatically generated booking summary by email to the email address you provide in the booking form. This does not form a contract between us. A contract shall only arise when your booking is subsequently confirmed by post or email.
By making a booking the client contracts on behalf of himself/herself and all those in his/her party and represents that he/she has the authority to accept these conditions on behalf of and binding upon all guests in his/her party.
Bookings are accepted on the understanding that the property is taken for holiday purposes only and that, excepting babies, the number of people in each property is limited to that entered on the booking form.
The client and any friends or family of the client visiting the property while the client is staying there must adhere to the conditions of the contract, including the rules and procedures contained in the information folder provided in the property. If inviting friends to visit the client must first seek the permission of the owners.
Bookings and Payment
The owners reserve the right to alter prices on our website. We will advise you of the current price at the time of booking. A binding contract comes into existence between the client and the owners once we have received your deposit and we have issued an email/postal letter containing your booking confirmation.
We reserve the right to refuse any booking before we send you written confirmation. If we do this we will inform you in writing and promptly refund any money paid to us.
Bookings are confirmed on receipt of the booking form and receiving the deposit of 25% of the holiday cost. The balance of the rental will be due for payment 42 days before the arrival date; you will be sent an email notification that the balance is due. If the booking is made within 42 days of the arrival date then payment will be due in full. No entry to properties will be allowed without payment, in full, being cleared beforehand.
Cancellation
Cancellation by you
1.1 Cancellations must be immediately notified to us and confirmed in writing (email). The treatment of cancellation will depend on:
- the reason for the cancellation;
- when the cancellation is made; and
- the date the booking was made
Bookings placed between 1st August 2020 and 8th January 2021 are covered by Master Cancel and are subject to different T&Cs (see below).
Bookings placed from 9th January 2021 will be treated based on the reason for the cancellation, the length of time between cancellation and your holiday, and our ability to re-let the property, as follows:
National Lockdown – In the event of a national lockdown, where you are unable to travel, and we are prevented from opening, you will receive a full refund.
Regional/Local Lockdown – In the event that your address is put into Local/Regional Lockdown, rendering you unable to travel, you will receive a full refund. Please note that this applies only to the address given by the Lead Booker at the time of booking and does not apply to party members at a different address unable to travel due to local lockdown.
Your inability (or the inability of any, some, or all, of your party) to stay at your hired Cottage for any other reason. This includes – but is not limited to – illness (including Covid), a requirement or recommendation to self-isolate or quarantine, a call to jury duty, incarceration, changes in personal or work circumstances, family emergencies, travel delays, vehicle breakdown, and delays with public transport. These remain at your risk and do not give rise to a right to cancel or receive a refund, other than according to 1.2 or 1.3 below. You are strongly recommended to take out UK travel insurance to cover these eventualities. If you choose not to take out UK travel insurance, then you accept responsibility for any loss that you may incur due to your cancellation.
1.2 If there are fewer than 60 days before the start of your stay, with the exception of 1.1 above, any refund we give you will be subject to our ability to find an alternative booking. If we are unable to find an alternative guest for the period of your booking, we will not offer you a refund. If we are able to find an alternative guest for the period of your booking, you will be entitled to a refund equal to the lesser of:
- the full cost of your booking, less an administrative charge of up to £40 to cover the cost of cancellation and remarketing the cottage (these costs include our admin costs, remarketing costs, bank fees, accounting fees and agency fees or commission payments.) or
- the fee paid by the alternative guest for the accommodation, less our administrative charges described above, and
- any refund under this clause will be made within 14 days of the booking start date.
1.3 If there are more than 60 days before the start of your stay, we will offer you a full refund on cancellation, subject to an admin charge of up to £40. Any such refund will be made within 14 days of written confirmation of your cancellation.
Cancellation by us
In the event that we are unable to provide the accommodation as stated due to circumstances beyond our control (eg fire, flood, exceptional weather conditions, damage/destruction), Odle Farm may, at its sole discretion, offer you:
- a full refund; or
- alternative holiday dates; or
- such other remedy as Odle Farm considers appropriate with regard to the circumstances.
Liability is restricted to the return of all monies paid. If we have to terminate your holiday early you will be refunded part of the booking fee based on the time remaining of the booking. No additional compensation, expenses or costs will be payable.
Cancellation of bookings made between 1st August 2020 and 8th January 202
All bookings made between 1st August 2020 and 8th January 2021 are protected for cancellation by the Odle Farm Master Cancel programme.
Cancel your booking, without giving a reason, up until 2 days prior to arrival for a full refund of your accommodation costs
No forms to fill in, no doctor’s notes or any evidence required
Simply notify us by email of your cancellation and you will be reimbursed within 7 days of the arrival date of your original booking
There is no refund cover for the last 2 days before arrival and therefore you should take out your own insurance to cover for this eventuality
Claims resulting from either of the following two items are not covered:
Nuclear radiation or radioactive contamination.
War & terrorism.
Cancellation of bookings made before 1st August 2020
We must be notified immediately by phone and also in writing of any cancellation. We will endeavour to re-let the cottage. If we are able to re-let your booking, we will refund to you the final letting price (which may be less than you paid) less the administrative charge. If we are unable to re-let your booking, the Lead Booker is legally responsible for the balance in full and any refund, part refund or booking deferral, will be at the sole discretion of the owner.
Cancellation Insurance
We strongly recommend that you take out suitable insurance which will cover you for the possible cancellation of your UK holiday. There are several suitable options which include cover for COVID-related cancellation (see below), or you can look for suitable cover on comparison sites such as www.moneysupermarket.com or www.gocompare.com. We are not selling, promoting, endorsing or recommending any particular product, and do not benefit financially or have any formal relationship with any of these providers.

Arrivals, Departures and Period of Hire
Bookings are from 4.00pm on the day of arrival until 10.00am on the day of departure. Late departures may result in you being charged a further day’s rental. The property is only to be used for the purposes of holiday during the period booked and not for any other purpose or period of time. There is no relationship created of Landlord and Tenant between the parties. You shall not be entitled to a new tenancy, or to any assured short hold or assured tenancy or any statutory protection under the Housing Act 1988 or other statutory security of tenure now or at the end of the Holiday Period.
Number of persons using the Property
The maximum number of guests is stated on the website. Under no circumstances can extra guests be accommodated. We reserve the right to decline accommodation if this condition is not observed.
Towels and Linen
All bed linen, towels and kitchen towels are supplied, with the exception of swimming/beach towels and cot bedding.
Rules and Procedures
Guests are required to familiarise themselves with and observe the rules and procedures of Odle Farm contained within the Stay Planner which you can log into using your booking number. Particular attention should be given to the Health and Safety when using the hot-tubs.
Liability
Whilst every effort is made to ensure the safety of guests, the cottages and facilities at Odle Farm are used entirely at your own risk. Odle Farm, its employees and representatives shall not be liable for any loss or damage to your property howsoever arising. You must take all necessary steps to safeguard your personal property and baggage. No responsibility can be accepted for loss or damage to motor cars.
Damage and Care of the Property
You are responsible for the property during the Holiday Period and are expected to take reasonable care. The cottage is thoroughly cleaned prior to the hirer’s arrival and the booker undertakes to leave the cottage, furniture and equipment clean and tidy at the end of the hire period. We reserve the right to demand the immediate withdrawal of any persons behaving in a manner detrimental to the property or comfort of other guests. All damage and breakages are the legal responsibility of the booker and should be made known to the owners. If you lose a key we will replace it upon your paying for the cutting of a new one.
Pets
We realise that dogs are very much part of people’s families, however our cottages are very much part of our family so please look after them for us.
Up to two dogs per booking are welcome in Willow and Wisteria cottages and charged at £5 per night.
As a prospective visitor, it is only fair that our House Rules for Dogs should be plainly stated so you can decide if Odle Farm is right for you & your pet/s.
We ask that you don’t allow dogs upstairs, in any of the bedrooms or on the furniture, and that they are not left alone in the house.
If you would like to go out for the day without your dog, our neighbour Vicky has kennels and will take day borders (tel 07779 759956). Your dog may be perfect at home but in a strange place they can become stressed, we have had problems in the past with barking and damage so we request that dogs aren’t left alone in the cottages.
Please clean up after your dog/s – both inside and out. Please bag and bin all deposits, in case you run out, poo-bags are provided in the Doggie-Box. There is a vacuum cleaner in the cupboard at the bottom of the stairs.
Footpaths, bridleways and country lanes surround Odle Farm, making for excellent walking country. This is a farming area though so we ask you to please respect our neighbours and keep close control of your dogs while out and about. If you are at all uncertain as to whether your dog will chase livestock please keep your dog on the lead. Please do ask us about walks if you would like suggestions or directions, depending on the time of year some are less muddy!
If your dog/s are wet and muddy please keep them in the kitchen until they are clean and dry. If your dog/s don’t like being shut behind a door we have an easy to put up stair-gate which fits between the kitchen and the lounge, stored in the cupboard at the bottom of the stairs.
We supply “dog” towels for your use while here, please don’t worry about washing them, we have a washing machine just for pet washing to avoid hairs on clothes and bedding . If you need more during your stay please let us know.
Our doggie-box has some temporary dog-tags. Please return them at the end of your stay.
Please bring your own freshly laundered dog beds.
Barking – please be aware that a barking dog, inside our out at anytime of day or night will spoil the stay of other guests.
Smoking or Vaping
Smoking or vaping is not allowed in any of the cottages or internal public areas and any breach of this condition could result in a cleaning charge.
Fire Safety
Candles, fireworks, indoor smoking and similar fire hazards are not allowed. Guidance for the use of wood burners must be observed. Familiarise yourself with the Fire Safety Emergency Plan.
Right of Entry
We shall be allowed the right of entry to the property at all reasonable times for purposes of inspection or to carry out necessary repairs and maintenance.
Complaints
We make every effort to ensure that you have an enjoyable stay but if you have any problem or cause for complaint, please contact us immediately to give us the chance to resolve it during your stay.
Additional Terms and Conditions
In addition to the terms and conditions stated here, there may be specific terms and conditions which apply to the facilities at Odle Farm such as those concerning the use of the Hot Tubs. These will be prominently displayed at Odle Farm and /or in the cottage information folders, and constitute part of these general Terms & Conditions.
Privacy Policy
Any data collected during the course of this booking will be stored on our computer(s). With your permission we may from time to time contact you about promotions and offers. We will not share your details with any third party.
